About Project

A global consulting firm relied on disparate tools—email, shared drives, and scattered collaboration platforms—for client communication, document exchange, and approvals. To streamline operations and enhance security, CXNext was engaged to design and implement a unified SharePoint Online client portal. The solution incorporated secure external sharing, automated approval flows via Power Automate, and real-time updates through centralized interfaces. This portal replaced fragmented collaboration tools and provided clients and internal teams with a seamless digital experience.

Solution

CXNext built a SharePoint Online extranet portal leveraging Azure AD B2B for secure guest access. The portal features dedicated client sites connected to a central hub, with customized branding, news, announcements, documents, and quick links. Power Automate workflows were implemented to automate document approval, submission, and notification processes. Role-based permissions enforce secure access, while version control and audit trails in SharePoint ensure compliance. Alerts and real-time dashboards enable both internal and client stakeholders to track status and updates. External sharing aligned with SharePoint best practices: using Team Sites without Microsoft 365 Group connections and controlled site-level sharing.
