Seamless IT Infrastructure Transition for a Global Manufacturing Leader

Establishing a Scalable, Secure Microsoft 365 Environment Across 12 Countries Within Tight Transitional Deadlines

About Project

A prominent global manufacturing company underwent a strategic separation from its parent organization, necessitating the establishment of an independent IT infrastructure. With Transitional Service Agreements (TSAs) nearing expiration, there was an urgent need to deploy a robust, scalable, and secure IT environment. CXNext was entrusted with architecting and configuring a comprehensive solution encompassing identity and access management, as well as migrating approximately 1,000 users across 12 countries from Lotus Notes to Microsoft 365.

Business Challenges

The separation from the parent company presented a complex set of challenges. Foremost was the pressing deadline imposed by the expiring Transitional Service Agreements (TSAs), which required the new entity to establish a fully operational IT infrastructure within a limited timeframe. The existing systems, primarily based on Lotus Notes, were outdated and lacked the flexibility and scalability needed for modern operations. Additionally, the company had to manage the migration of approximately 1,000 users spread across 12 countries, each with unique regulatory and compliance requirements. The absence of a dedicated in-house IT team further compounded these challenges, necessitating a solution that was not only robust and secure but also easy to manage and maintain.
  • Tight Deadlines: Implementing a new IT infrastructure before the expiration of TSAs.
  • Legacy Systems: Transitioning from outdated Lotus Notes systems to modern platforms.
  • Global User Base: Managing the migration of users across multiple countries with varying compliance requirements.
  • Lack of In-House IT: Deploying a solution manageable without a dedicated IT team.
  • Security and Compliance: Ensuring the new infrastructure met all security and regulatory standards.

Solution

CXNext implemented a cloud-first strategy, leveraging Microsoft 365 to provide a unified, scalable, and secure platform. Key components included:

Identity and Access Management

Deployment of Azure Active Directory (Azure AD) for centralized identity management, enabling Single Sign-On (SSO) and Multi-Factor Authentication (MFA).

Email and Collaboration

Migration from Lotus Notes to Microsoft Exchange Online, facilitating seamless communication.

Productivity Tools

Implementation of Microsoft Teams, SharePoint Online, and OneDrive for enhanced collaboration and document management.

Security and Compliance

Utilization of Microsoft 365 Security & Compliance Center to enforce data loss prevention (DLP) policies and ensure regulatory compliance.

Before

Prior to the transformation, the company’s IT landscape was characterized by:
  • Fragmented Systems: Reliance on disparate, legacy systems with limited integration capabilities.
  • High Maintenance: Significant resources allocated to maintaining on-premises infrastructure.
  • Limited Collaboration: Inefficient communication tools hindering cross-functional collaboration.
  • Security Risks: Outdated security protocols exposing the organization to potential threats.

After

Post-implementation, the company experienced a transformed IT environment:
  • Integrated Platform: A cohesive Microsoft 365 environment streamlining operations and communication.
  • Reduced Overhead: Lowered IT maintenance costs through cloud-based solutions.
  • Enhanced Collaboration: Real-time collaboration tools fostering improved teamwork across global teams.
  • Robust Security: Advanced security measures ensuring data protection and compliance.

Business Value

The strategic implementation delivered substantial business benefits. By transitioning to a cloud-based Microsoft 365 environment, the company achieved significant cost savings by eliminating the need for extensive on-premises infrastructure. The new platform’s scalability allowed for seamless integration of future acquisitions and expansions. Enhanced collaboration tools improved productivity and communication across global teams. Moreover, the robust security features ensured compliance with international regulations, mitigating potential risks. The successful deployment within the tight TSA deadlines avoided potential penalties and operational disruptions.
  • Cost Efficiency: Reduced capital expenditure by eliminating on-premises infrastructure.
  • Scalability: Flexible solutions accommodating future growth and expansion.
  • Enhanced Productivity: Improved collaboration tools leading to increased efficiency.
  • Regulatory Compliance: Ensured adherence to international security and compliance standards.
  • Timely Deployment: Successful implementation within TSA timelines, avoiding potential penalties.
